Make an Invoice Template Active

There may be times when you go to create an invoice for a Permit Application, but the template you want to use for your invoice doesn't appear in the list of options, which prevents you from creating that invoice.

This usually occurs because you or another Permit Manager on your team has recently made changes to the template you want to use, but then did not make it active again after completing the edits. When someone edits an invoice template, Eproval automatically makes that template inactive to prevent someone from using the template while it's being updated. And unless you specifically make it active, it will stay in the inactive state.

This topic covers how to check if an invoice template is active and, if so, how to make it active again.

Steps

  1. Go to Tools > Configuration.

  2. Invoice templates are specific to each Application Type. Depending on your setup, you may have more than one Application Type. Locate the Application Type that contains the invoice template you want to activate and and click Billing.

  3. Click the Select a Template dropdown menu and select the invoice template you want to check from the list of available templates.

  4. In the top right of the invoice template, you'll see an Active toggle. If that's set to No, then the template is not active and cannot be added to Permit Applications.

  5. As noted, before activating the invoice template, check with the other Permit Managers to make sure no one is in the process of editing it.

  6. When you're ready to activate the invoice template, click the Active toggle, which will change it to Yes.

  7. The invoice template automatically saves when the template is activated. You should now be able to create an invoice for a Permit Application.
